Cancellation Policies

 Cancellation and Refund Policy for Extended Day Programs

  • 30+ Days Notice: Travelers who cancel Extended Day services with 30 days' notice in writing will receive a full refund for the base cost. However, if any activity fees were purchased in advance, no refunds will be issued for these fees. If the activity fee has not yet been paid, the fee will be credited to the traveler’s account and can be applied to another extended day program within 60 days of the original cancellation.

  • Less than 30 Days Notice: Cancellations made less than 30 days before the scheduled service will incur a 50% cancellation fee for the base cost.

  • Less than 72 Hours Notice: Cancellations made within 72 hours of the scheduled program will not receive a refund for the base cost or the activity fee.

  • No-Shows or Uncommunicated Absences: If a Traveler does not show up for the scheduled Extended Day Program and has not communicated their absence in advance, no refund will be issued. In this case, both the Traveler and their guardian must attend an attendance meeting with the Program Director. The Traveler’s participation in future programs will be put on hold until a corrective action plan is agreed upon.


Cancellation and Refund Policy for Overnight Programs

  • Local Overnight Program (30+ Days Notice): If a traveler cancels 30 or more days before the scheduled local overnight program, they will receive a full refund minus the non-refundable deposit.

  • Local Overnight Program (Less than 29 Days Notice): Cancellations made within 29 days of the scheduled local overnight program will not receive a refund.

  • Domestic Overnight Program (60+ Days Notice): Travelers who cancel 60 or more days prior to the scheduled domestic overnight program will receive a full refund minus the non-refundable deposit.

  • Domestic Overnight Program (Less than 59 Days Notice): Cancellations made within 59 days of the scheduled domestic overnight program will not receive a refund.

  • International Overnight Program (90+ Days Notice): Travelers who cancel 90 or more days prior to the scheduled international overnight program will receive a full refund minus the non-refundable deposit.

  • International Overnight Program (Less than 89 Days Notice): Cancellations made within 89 days of the scheduled international overnight program will not receive a refund.

Inclement Weather Policy

  • The safety of our Travelers and staff is our top priority. Decisions to cancel, postpone, or alter a program due to inclement weather are based on several factors, including:

    • Expected snow accumulation

    • Size and duration of the storm

    • Temperature drops and road/flying conditions

    • Staff comfort and ability to safely travel

    • School closures

  • We will notify travelers as soon as possible about any schedule changes via email and/or phone.

  • If a program is canceled due to weather, the base cost will be credited to the Traveler’s account and can be used for another Extended Day program within 60 days. Any unpaid activity fees will also be credited to the account for future use.
