The Traveling Gnomes accept the following funding for Extended Day and Overnight Programming:

The Traveling Gnomes trips are staffed at a ratio of 1 team member to 1 Traveler (1:1), 1 team member to 2 Travelers (1:2), 1 team member to 3 Travelers (1:3), or 1 team member to 4 Travelers (1:4).

 

Extended Day Base Cost (9am-6pm)

  • 4:1 or 3:1 support - $150-$350 per day

  • 2:1 or 1:1 support - $200-$400 per day

Overnight Pricing

  • 4:1 or 3:1 support - varies

  • 2:1 or 1:1 support - varies

 

4:1 / 3:1 Group Support - ​​A Traveler receiving 3:1 or 4:1 support can stay with the group for approximately 9 hours. They demonstrate a willingness to participate in activities, take direction from various individuals, adhere to safety protocols specific to each activity, and manage personal care with minimal assistance.

2:1 / 1:1 Small Group Support - A Traveler receiving 2:1 or 1:1 support may need support and direction staying with the group for approximately 9 hours. They may need significant prompting to participate in activities, adhere to safety protocols, and manage personal care. Travelers with a history of elopement, physical aggression, property destruction, and severe medical needs require 2:1 or 1:1 support.

The Traveling Gnomes reserve the right to determine an appropriate staffing ratio for a Traveler. If the necessary level of assistance is misrepresented on the Traveler’s paperwork, the Traveler may be turned away or sent home during a program. This is to ensure the safety of the Traveler and the group. Occasionally, Travelers who do not require 1:1 support at home, do require 1:1 support while traveling due to frequent transitions, crowded spaces, unfamiliar places/activities, and uncontrollable situations. 

Funding Verbiage:

  • Extended Day Base Cost: The base cost for an extended day fluctuates depending on factors such as distance, activity fees, staffing needs, duration, and preparation times. This cost typically ranges from $100 to $400.

  • Extended Day Activity Fee: This fee covers the actual cost of activities for the day, which may include entrance fees, tickets, crafting supplies, etc. It also accounts for staffing activity-related fees, which could be slightly higher than the actual cost of the activity itself.

  • Overnight Deposit: The overnight deposit is non-refundable and is required to secure your spot on an overnight trip. Without submitting this deposit, your reservation will not be confirmed.

  • Overnight Remaining Balance: The remaining balance is the total cost of the overnight trip, minus the deposit you have already paid. This balance will need to be paid prior to the trip.

Payment Terms:

Payment for both Extended Day and Overnight programs is due in full by the specified due date, unless otherwise agreed upon.

Extended Day Invoices will be emailed once the requested dates are confirmed. These invoices are due monthly on the last Friday of the month prior to the scheduled program. You may choose to pay the full season’s invoice upfront or adjust the payment amount monthly.

Overnight Invoices will be emailed after deposits are received and trips are confirmed:

  • International Overnight Programs: Due 90 days before departure.

  • Out-of-State Overnight Programs: Due 60 days before departure.

  • Local Overnight Programs: Due 30 days before departure.

Payments can be made via credit card, check, or cash. Late payments may incur a late fee.

If payments are not received by the due date, your spot may be released.

Modification of Services:

Changes to the scope or frequency of services must be agreed upon in writing between the participant and The Traveling Gnomes.

The Traveling Gnomes reserve the right to adjust service schedules with advance notice.

If your Traveler requires 1:1 or 2:1 support, the availability of secured spots is contingent upon staffing resources. Given the substantial demand for 1:1 support among our travelers, we also retain the right to place your Traveler on a waitlist, ensuring equitable opportunities for all 1:1 Travelers to participate in our trips.
